GEGI features the Documents Audit report that helps users to conveniently go through the process of checking the documents' content.


This report contains all the uploaded documents and the signed e-sign packages. 


You can view and confirm if they are correct or reject and send for review if something is wrong (not all signatures present, incorrect dates, etc.)  


Documents Audit Report


This report can be accessed by clicking the Documents Audit menu item in the Student Folders menu tab.

The Documents Audit page has 3 sections:

  • Review Required - the documents that require reviewing 
  • Approved - checked and approved documents 
  • Rejected - rejected documents


Initially, all new documents uploaded for a student or signed by e-sign are moved to the Review Required tab.

The documents can be conveniently filtered using the Search & Order and the Presets panel.

You can also export the report results using the Excel button above and below the panel with documents:



Review Document


To review a document use the Review item in the Actions drop-down menu or click the document name. You can also use the Start Audit button to audit each document.

After that, you will see the Student Folders: Documents Audit - Review "Document" page:



The Document Audit panel contains brief information about the document and the audit information:

  • Status - the current audit status (Review Required, Approved, Rejected)
  • Audit Rules - what should be noted when reviewing a document (e.g. dates and signatures)

Note: Audit Rules are configured at the document types (Admin →  Student Folders page). You can define the important aspects for the document.


To view the document click the View Document button. 


Approve Document


If the document is correct click the Approve button.

The document status will change to Approved and the document will be moved to the Approved tab in the report. 


Reject Document


If the document is incorrect click the Reject button.
You will see the Student Folders: Documents Audit - Rejection Reason pop-up panel where a user should enter the following:

  • Request Assignee - a user that is assigned to the request. The default selected user is the one that has uploaded the document.
  • Reason for Rejection (Request Text) - the rejection reason that will be added to the request:



Then click the Reject button.

The document status will change to Rejected and move to the Rejected tab in the report.

The request for this document will be automatically created as well. The request will contain the rejection reason and the request will be assigned to the selected user.

The user that conducts audit can use requests to communicate with the users that need to correct the rejected documents.

Note: Working process for these requests is similar to working with any other requests in User Support. The request can be found by clicking on the Requests menu item in the User Support menu tab:



After closing such a request the document will automatically return to the Review Required tab if no other conditions apply (e.g. the document is deleted). 

Any other action with this request changes the request status to Solved and comment with one of the following descriptions of the action will be automatically added:

  • The document has been approved
  • The document has been returned to the audit
  • The document has been deleted
  • The document has been re-uploaded
  • The document has been added to the e-sign package


Change Audit Status


If the document audit status changes to Approved or Rejected by mistake this action can be undone.

Go to the corresponding tab at the Student Folders: Documents Audit page and find the document.

Then open the Student Folders: Documents Audit - Review "Document" page of this document and click the Return to Audit button. The document will return to the Review Required tab.

Similarly, the document status can be changed from Approved to Rejected and vice versa using the Approve and Reject buttons.
