Files Sharing is a place in the system where users can share their files with other users and students. Files Sharing helps to conveniently share educational resources and document templates to fill out with students. When adding documents you can use settings to define who will have access to them. This allows adding the required files to Files Sharing once and set up access instead of sending the files to each student individually. After that, students or users can log in to the system anytime and download the files they need.


Where Can I Find Files Sharing?


Files Sharing can be accessed by the Files Sharing menu item in the Communication menu tab:




Note: If you do not see this menu in the Communication tab, you probably do not have the required permissions. Contact Customer Support to get the permissions.


The Files Sharing page shows all the files you have access to. The files you created will be shown here as well:



For your convenience, the page has the Search & Order panel. If you have a lot of documents, this panel will help you easily find any files and sort them by name, date, group/cohort, course, or Clinical Rotation.


How to Add Files for Sharing?


To add a file for the shared access, click the Add button under the Shared Files panel:


Enter the required information, upload the file, and click the Add button.

Note: If an employee has access to Files Sharing and the course/group/CR you selected when creating the file, the employee will see that file as well:


  • Share with Cohort/Group - you can select the whole cohort or just certain groups. Use the Plus button to add a new cohort/group.
  • Share with Course - all students from the selected course will be given access to the file.
  • Share with Clinical Rotation - give access only to the students of the Clinical Rotation selected from the list. After that, the students from other CR will not have access to the file even if they are in the same course or group. If you need to share the file with all the students of the course independently of CR, leave the field blank.
  • File - the file can be uploaded in various formats, including video and PowerPoint presentations.

Later you can change or remove the files you created using the Edit or the Delete menu item in the Actions drop-down menu:
