Locations:

Users with the following permissions:  

  • Admin → Financial → Manage Charges
  • Leads & Students → View
  • Enrollment → View Enrollment Agreement
  • Enrollment → Edit Enrollment Agreement


Case: 

When populating a student's Enrollment Agreement, users need to enter information about opted out services, e.g., Hardware/Software, e-Books, to configure charges correctly.


Problem: 

Only one field is available now: Opted Out of e-Books. It is not suitable for all situations.


Solution:  

Added an ability to configure Charge Items and create an Opted Out field in Enrollment Agreement.


To create a new Charge Item use the Add button on the Admin → Charge Items page:



You will see a pop-up panel where you can configure Charge Item:



The following functions can be configured:

  • Allow Automatic Calculation - automatically enter values depending on the charges from Enrollment Agreement. More details about automatic calculation can be found in the field tooltip:



  • Allow Populating EA with Empty Value - allows populating Enrollment Agreement if the value is empty.
  • Show Opted Out Field in EA- show the field in Enrollment Agreement.
  • Show Opted Out Field in Search & Order - show the corresponding filter on the Leads & Students, Education Module: Students and Financial Module: Students pages:


After finishing configuration click the Add button and the Charge Item will be created. You can edit it or delete using the corresponding menu item in the Actions drop-down menu:



You can select a Charge Item for each Charge on the Edit Charge "Name" page:



If you configured a charge to be displayed in Enrollment Agreement, on the Student "Student name": Enrollment Agreement page in the Student's Data in EA panel you will see the Opted Out field:



The Opted Out fields are highlighted in red if:

  • The field value differs from the automatically calculated from the Charges list in Enrollment Agreement.
  • The field is required but is empty.


You can edit the Opted Out field in the Student "Student name": Edit Enrollment Agreement page:
