GEGI can automatically delete certain data after a specified period of time. This may reduce liability in case of theft or similar events. The retention settings are located at the following menu: Data Retention Settings (Admin → Data Retention Settings):



This page can be accessed with the View Data Retention Settings permission but settings changing is only available to GEGI staff.


Student's Data


Currently, the following student's data types are deleted:

  • The student’s SSN/ITIN.
  • The student’s documents containing the SSN/ITIN (document types should be configured first).


You can configure the following options:

  • Which period of time should pass before the data is deleted.
  • Which document types are deleted.


The deletion time is set by the Period After Student’s Final Status Is Set, months setting.

This number of months starts counting after the last change of the student’s stage of the pipeline. The student’s data is deleted only if the student is in one of the following stages:

  • DROPPED
  • LOA DROPPED
  • NOT INTERESTED
  • NOT QUALIFIED
  • NOT STARTED
  • DISQUALIFIED
  • COMPLETED
  • GRADUATED


If you want a certain document type to be deleted automatically, enable the Contains SSN option by clicking Edit in the Actions drop-down menu in the corresponding document type row on the Admin Student Folders & TemplatesStudent Folders:



System Journal


The System Journal Data Retention Period, months setting defines the number of months for data retention in the System Journal and ranges from 1 to 120 months.
