TABLE OF CONTENTS


To issue bills for third-party organizations and refund students’ education from external sources, GEGI offers the ability to issue such bills on a school’s letterhead with the student’s charges information taken into account.


Third Party List


Before adding a third-party organization to a bill, it should first be added to the list of the third-party organizations on the Financial Aid → Settings → Third Party List for Bills page:



Click the Add button and fill in the information about the new organization: name, address, and contacts:



Click the Add button to save the information and the new organization will appear in the list.


Bills for Third Party


New bills for third-party organizations are added on the Financial Aid Bills for Third Party page:



Use the Actions → Add Bill for Third Party button and fill in the bill details.


Step 1 — Select Student. 

At this step, you need to search and select a student for whom the bill is created.

Only one student can be added to a bill.

Select a student by clicking on the full name URL.



Step 2 — Entering Bill Information.

This step requires entering the following information:

  • Bill Date — prefilled automatically with the current date, can be edited.
  • Bill Number — prefilled automatically based on the current date, can be edited.  
  • Bill Due Date — set to Upon Receipt by default. Can be set to a certain due date if the checkbox is unchecked.
  • Bill to — select an organization from the list.
  • Group — select one or more groups related to the bill.
  • Student Withdrawal Date — set the date when the student was withdrawn or leave empty if not applicable.
  • Student Re-enrollment Date — set the re-enrollment date or leave empty if not applicable.
  • Include Costs — if checked, the bill will include the cost and duration for each course in the selected groups. If not checked, only a total sum will be shown for all courses in the selected groups.


Click the Add button to save the information and the new bill will appear in the Bills for Third Party list.


Exporting Bills as PDF


The PDF version of the bill can be obtained by clicking the Actions → View Bill for Third Party (PDF) button:



Note:  Use the "US Letter" paper format when printing so that the bill is displayed correctly. You will see the warning about this before the PDF creation.
If the costs of courses and/or books calculated for the bill will not match the costs in the populated Enrollment Agreement, you will see a corresponding warning.
