  • Financial - FA Tracking Form: View FA Tracking Forms
  • Financial - FA Tracking Form: View FA Tracking Report


Case:

There is a need for a more user friendly and easy tracking of financial aid information, such as forms and reports.


Problem:

Are there reports and forms in FA to find the needed information quickly?


Solution: 

Student "Name": Financial - FA Tracking Form and FA Tracking Report pages were added, where users can input and track financial aid information.


FA Tracking Form

A form that helps Financial Aid department to track information, required for students to receive financial aid. 


How to use the form?

Financial aid advisors enter all information into FA tracking form panels.


After all the information is verified the verification document is to be uploaded on student's documents page. Supervisor (FA Director/FA Assistant Director) reviews the individual forms, checks for verification and continues with the packaging of the whole group. In the Tracking Form Data panels users can easily enter the missing parts, review the forms and etc:



FA Tracking Report

Displays data summarized from FA tracking forms. For quick search you can use search parameters on the Search & Order panel:

Student's Transfer:

What happens to the data if the student:

  • is transferring from ACTIVE stage of pipeline in group: his/her FA Tracking Form will be fully copied to the new group.
  • is transferring from DROPPED or LOA stage of pipeline in group: his/her FA Tracking Form will be also fully copied to the new group but will become not verified.

Note: Only users with Financial - Edit FA Tracking Form after transfer permission can edit old FA tracking form.

Payment Plan:

After verification of the FA tracking form information in payment plan should not be changed or deleted.


The following was added to monitor changes:
  • Start Dates and Ending Dates for Pay Per # cannot be deleted, if FA Tracking Form has inputted data for these periods. 
  • Comment Codes, Stafford Loans, PLUS Loans, Financial Aid Status have been already verified in FA Tracking Form for Academic Year # and cannot be changed. 


Notifications:

There are daily and weekly notifications about changes in FA tracking forms. Weekly notifications are sent every Monday morning.
