Programs


Programs are an important part of GEGI. Each GEGI cohort or group is linked to a program. Students in groups study by programs.


Programs are managed on the Programs page (Admin menu tab  Programs menu item). The main properties of a program are grouped into categories. Some of the properties will be explained further in this guide.


You can group similar programs using the Program Group function. Many system functions will treat grouped programs as identical, e.g., when transferring students from one group to another, when grouping data in reports, etc.


Creating and configuring programs is one of the first steps in GEGI. You will not be able to create groups and students without it.


Cohorts & Groups


All GEGI students are divided into cohorts and groups. Studying, recording attendance, and grading are performed within a group.

  • Cohort — is a set of students who begin their study on one day by one program. Cohorts are created automatically and can be seen only in filters and several reports, e.g., in the Cohort/Group filter at the Leads & Students and Cohorts & Groups pages.
  • Group is a part of a cohort and is the main object in GEGI workflow. A group can be linked to only one campus: you cannot place students from different campuses in one group. Students in a cohort are divided into groups.


You can manage groups on the Cohorts & Groups page (Leads & Students menu tab  Cohorts & Groups menu item).

The cohort name consists of the following: a short campus name if all groups are in the same campus ("FI" on the image below) + a short program name ("VN1570" on the image below) + the start date:



Also, we recommend implementing your own naming rule for your groups and following this rule when working in GEGI. For example, a group name may contain an abbreviation for a campus, a program, and a start date: CA-PR-01/01/2015; or a year and a group number: CA-PR-2015-01. This may help you easily find groups on the Cohorts & Groups page.


There are two types of groups in GEGI: Core and Prereq.

  • Core Group — a group with the core program courses. Students should be added to core groups to study by a program. A student can have an Enrollment Agreement filled in for every core group.
  • Prereq Group a group with courses that should be finished before starting the core courses in the program. Those courses demonstrate the competency of knowledge required for starting the core program.


Before creating a group, you must first fill in the required fields:

  • Campus  if there is more than one campus in your school.
  • Group Name
  • Program
  • Type Core or Prereq
  • Start Date
  • Classes Start AM, PM, or AM/PM
  • STRF Rate
  • State — if this field is configured as a required field using the State in Group is Required setting.


Optionally, you may define the study schedule when creating a group. This information will be later used in the student's Enrollment Agreement.
