Case:

When creating a student’s profile in GEGI a user can define only one campus. The student will require a second profile when starting the study in another campus. Creating such duplicate profiles takes a lot of time and makes tracking the student`s information more complicated.


Problem:

How to transfer a student to another campus without creating a duplicate profile?

 

Solution:

Added the ability to assign multiple campuses to a student.

Student search in multiple campuses 

When adding a new student to the system

The search results will now display all possible duplicate students from all campuses at Step 1 of 2: Add New Lead - Search Leads/Students page:



Users will be able to view student profiles and assign students to the new campus.


When searching student profiles:

Use the Show Profiles from All Campuses checkbox in the Search & Order panel on the Leads/Students page to see the results from all campuses:



When viewing student’s info in other campuses:

What student data can users view in other campusesThe setting was added on the School Settings page.

This setting allows specifying the parameters of permissions to users for reviewing student’s info, such as:

  • Lead - Details and Data in Group only - the users have read-only access only to these two pages.
  • Everything - the users have the read-only access to Lead - Details, Data in Group and all other student-related pages such as A/R Card, Payments, Documents, Text Messages, Reg. Form, etc.

Assigning campuses and adding students to groups

Assigning campuses

To assign/unassign a campus to a student perform the following steps:
  1. Open the Student "Name": Lead - Details page.
  2. Click the Edit link in the Admission Advisors & Campuses field at the Lead Info panel:

  3. You will see the Assign/Unassign Campuses pop-up panel. Select the campuses you need in the Campuses column and assign Admission Advisors for each campus.
    Note: You cannot remove a campus if it’s the only one left or the student is added to the groups in this campus.



  4. Click the Save button.


Adding students to groups

A student can be added to groups from any campus. If the group's campus hasn’t been assigned to the student you should assign an Admission Advisor as well:


Transfer

You can also perform Transfer and Replace Group between the groups from different campuses.

Other changes

  • All students with multiple campuses assigned will have the icon near their names. Point your mouse cursor on the icon to see all student’s campuses displayed in a pop-over message:



  • In all the reports showing students' information (e.g. A/R Table, Received Payments, SAP Met Report, etc.) the title will now have the campus name and the note below about the report showing only the information from the current campus:

  • For the students with multiple campuses, there is now an ability to view the data for the school or each campus individually at the A/R Card, Payments, Invoices/Payments pages:



  • Overall Statement of Obligation now can be sent with the data of the school or each campus individually:



  • When using the Receive Payment function for students with multiple campuses you should now select the campus for the payment origin:

  • When sending text messages to students with multiple campuses you should now select the campus where the message is going to be sent from.
  • The Student "Name": Documents page now displays the documents from all student’s campuses. You can now add the documents from all student’s campuses to the E-Sign Package.
  • All educational reports (e.g. TranscriptSAPAttendance Statistics) now display information from all student campuses.
