GEGI Student Management System (version 4.93.0)


Accounting:

  • Deposits: Deposits in closed periods can no longer be edited, deleted, reconciled, or have payments removed. Users with the "Edit past deposits, payments, refunds, and bad debts (non-pending transactions in open periods)" permission can bypass these restrictions using the accounting admin password.
  • Payments: Added the "Allow Adding Before Expected Date" setting to enable adding awards via "Receive Payment" before the award’s expected date.
  • Payments: Added the "Cal Grant" checkbox setting to payment details, allowing to clearly identify and flag payments as Cal Grant funding for accurate reporting. 
  • Revenue: Improved the group removal handling to preserve charge history and group associations when students are removed from groups, while automatically recalculating charge date accruals, charge adjustments, and revenue adjustments. All transaction filters and reports continue to display accurate group-linked data even after the student group changes.
  • Revenue: Improved validation accuracy by excluding courses that students have not yet taken (courses starting after the Last Date of Attendance) from revenue validation logic. This prevents false validation errors when future courses have different hour settings than completed courses.
  • Revenue: Records now remain intact when students are removed from groups or transfers are cancelled, preserving complete financial history. Revenue adjustments can be added to previous groups, which appear in the "Groups Student Removed From" category.


Billing:

  • Bills: "Registration Fee" bills now transfer to the new group when a student without an Enrollment Agreement is transferred, remaining editable only through the Registration Form alongside the related charge. If a transfer is cancelled and new group data is deleted, the bill returns to the original group; if new group data is saved, the bill appears in both groups.
  • Expected Payments: Added the validation to ensure payment due dates occur before academic year deadlines.


Education:

  • Books: Improved the books removal scenario on the "Assign/Unassign Courses" page: When a course is unassigned from a group, books used exclusively by that course are now automatically removed with a confirmation dialog. Added a new "Unassign All Books" button to the "Books" page for bulk removal.
  • Checklist: Changed the validation for the "Change of Pipeline in Group to GRADUATED after Done" checkbox option. When the checkbox is checked, the validation ignores the "N/A" values, even if comments exist, and changes the student’s stage to GRADUATED.
  • CourseKey: Added the ability to assign a main instructor for didactic courses and clinical rotations.
  • Validation: Added date validation rules to ensure that didactic attendance class dates, course dates, module dates, and clinical rotation dates comply with their respective boundaries (start and end dates of related courses, modules, attendance classes, and linked didactic courses).
  • SAP: Enhanced minimum grade rule logic to keep completed SAP rules "Met".
  • School Settings: Added the buffer period duration setting titled "Number of Business Days Before Automatically Mark Students as NOT STARTED Due to Missed Attendance". After three consecutive missed attendances, the buffer period begins. If the student does not attend by the end of this period, the stage in the pipeline changes to "Not Started."


Financial:

  • Online Payments: Payment link creation is now logged to the "System Journal" with key details including the student name and ID, payment type, recipient email, amount, expiration date, and the generated link URL.


Financial Aid:

  • Audit Reports: Added the Financial Aid History Requests Report to display student federal aid history from FAHEXTOP files.
  • Disbursements: Added the MPN status and payment period totals matching FA plan validation checks before automatically setting the DRI.
  • Disbursements Report: Added the "DRI" filter.
  • FA Reconciliation Report: Added the display of students who were disbursed but not paid out to help identify payment discrepancies.
  • Financial Aid Advisor: Added the user notification "Receive emails about ISIRs (own students)", enabling Financial Aid advisors to receive daily ISIR email reports for their assigned students.
  • Financial Aid Batches: Enhanced wording in GEGI and email notifications, and refined notification behavior to prevent redundant alerts on batch pages.
  • Financial Aid Plan: Added the "Number of Academic Years" program setting to control the number of academic years displayed when creating or editing Financial Aid plans.
  • Financial Aid Plan: Updated the enrollment status calculation to exclude hours from "Not FA" courses.
  • Financial Aid Plan: Updated the payment period calculation for term-based credit hour programs to exclude payment periods that only contain completed courses from previous groups and courses marked as "Not FA" in the Enrollment Agreement.
  • Financial Aid Plan: Updated the "Remaining Need" calculation: SAI (Student Aid Index) is now included in calculation.
  • Originations Report: Added the "Not Ready Reason" column to help identify why origination records remain in the "Not Ready" status.
  • SAIG Mailbox: Added the FAHEXTOP (Financial Aid History) files processing.
  • Schedule of Funding Report: Updated the "Schedule of Funding" report to include the "Days Outstanding," "Current Campus," and "FA Advisor" columns, along with filters and presets, to show students with unsigned and overdue FA documents.


Leads & Students:

  • Leads & Students: Updated the "Presets" editor, allowing users to configure filters and columns independently. Applied filters do not affect which columns are displayed, and all existing presets continue to work without changes.


Placement:

  • Placement Records: Added the new "Not Required" option to the "Placement Field" dropdown field on the "Edit Placement Record" and "Placement Records" pages. 
  • Placement Records: Added the new "Verification Method" and "Licensure Type" columns to placement records and enabled them as configurable columns and filters in presets.
  • Students in Progress Report: Added the new "Students in Progress Report" report, that allows monitoring the placement progress of students who are available for placement. 


Reporting System: 

  • ABHES Annual Report: Introduced the new report that automatically collects student data for ABHES annual reporting requirements, including student enrollment, graduation, withdrawal, credentialing examination, and placement information with proper campus filtering and compliance with ABHES reporting period rules.
  • BPPE Annual SPFS: The report now correctly handles cross-campus and cross-period transfers by counting students twice when they transfer between different campuses within the same reporting period or when they transfer to a new group in a different reporting period.
  • SB70 Annual: Added "SB70 Annual Enrollment" and "SB70 Annual Persistence" reports to the Reporting System that meet SB70 requirements and include student demographics, program details, enrollment type and status, and Cal Grant participation based on payments received during the period.


Other:

  • Added the "Accredited Agencies" list. Its values are used in FVT/GE reports.
